This Privacy Policy, together with the Terms of Use and other agreements between the Company and users (hereinafter referred to as the "Terms of Use, etc."), applies to the Company's services (hereinafter referred to as the "Services").

2. Information Handled by the Company

In providing the Services, the Company may process User Information as outlined below for each user category. In addition, information regarding patients' families and other individuals may be handled due to the specifications of the Company's Services.

2-1. Medical Institutions and Affiliated Entities

  1. Names, representative names, addresses, and other information of medical institutions and affiliated entities, registered when they use the Company's Services (including the names of individuals using the Company's Services at medical institutions).
  2. Information entered by medical institutions and affiliated entities, when using the Company's Services (including the information in 2-2 B and C), usage history, and other information generated in connection with the use of the Services.

2-2. Patients and General Users

  1. Names, dates of birth, ages, genders, and other information prescribed by the Company and registered for the Company's Services.
  2. Information obtained through online medical questionnaires.
  3. Information obtained through monitoring and the recording and storage of Personal Health Records (PHRs).
  4. Video and audio information exchanged between patients and medical institutions and affiliated entities (limited to online consultations).
  5. User Information transmitted from applications (apps) provided for smartphones, etc. (including location information, information on terminal identification such as terminal IDs, referrers, information on information and communication terminal operating systems, and IP addresses).
  6. Information provided to the Company by patients through responding to surveys conducted by the Company regarding matters concerning the quality, efficacy, and safety of pharmaceuticals, medical devices, quasi-drugs, cosmetics, or regenerative medicine products, and other information necessary for the proper use of pharmaceuticals, etc. (hereinafter referred to as "Safety Management Information").

The information from 1 to 3 of 2-2 may be provided not only by the patients themselves but also by their families, facilities used, or medical institutions visited on behalf of the patients.

2-3. Corporate Representatives

  1. Personal information of corporate representatives obtained through the Company's Services, such as affiliated companies, departments, titles, names, telephone numbers, email addresses, participation in various events and seminars, and survey responses.

2-4. Other

  1. Information of job applicants and internship applicants.
  2. Employee information.

3. Purposes of Use

The information handled by the Company is used for the following purposes:

  1. User authentication, responses to users who violate the Terms of Use, investigations based on confirmation of user usage status, various necessary notifications, responses to user inquiries, consultations, and complaints, and other matters related to the operation of the Company's Services.
  2. Confirmation of user reservation, consultation, and guidance status, and notifications regarding the Company's Services or services incidental or related to the Company's Services, such as necessary information provision and reminders.
  3. Improvement of the Company's Services, responses to malfunctions, and provision, maintenance, development, and improvement of the Company's Services or services incidental or related to the Company's Services.
  4. Solicitation of monitors and interviewees for the purpose of promoting the Company's Services.

  11. Human resource management, labor management, occupational safety and health management, other employee information management, and provision of education and training for employees.
  12. Processing and sharing of statistical data derived from User Information after anonymization.
  13. Implementation of functions including communication functions of applications (apps) for smartphones, etc.
  14. Provision of Safety Management Information to third parties such as medical institutions, pharmaceutical-related businesses, and medical professionals for the fulfillment of post-marketing safety management operations entrusted to the Company, and for purposes related to health management, medical support, academic use, and other related purposes.

4. Use of Google Analytics

The Company's managed websites may use Google Analytics, a web analytics service provided by Google. Google Analytics collects data through cookies and similar tracking technologies. This data may be used to improve the functionality of the Company's managed websites and to improve services and quality.

5. Safety Management

5-1. Safety Management and Employee Training

The Company implements appropriate security measures to prevent unauthorized access, leakage, loss, or alteration of User Information.

Furthermore, recognizing that much of User Information is sensitive information related to medical care and health, the Company communicates privacy and safety guidelines to employees and ensures thorough privacy protection measures within the Company to maintain the safety of User Information.

5-2. Outsourcing

When the Company outsources the handling of User Information to external contractors, the Company provides instructions and supervision for appropriate management to ensure that the contractors take reasonable safety management measures.

6. Provision to Third Parties

As a general rule, the Company will not provide users' personal information to third parties without their consent. However, the Company may share User Information with third parties in the following cases:

    The Company may provide information to third parties through the Terms of Use, etc., of the Services provided by the Company, or with individual consent. In such cases, the details will be indicated in the relevant Terms of Use, etc.

    When providing information such as addresses to delivery companies when the Company assists in the delivery of pharmaceuticals, etc., by medical institutions, or when providing information such as credit card numbers to payment processing companies for credit card payment procedures for consultation fees, etc., when the provision is within the scope of the Company's legitimate business and there is no risk of infringing on the rights and interests of the users.

  5. Necessary for the Fulfillment of Post-Marketing Safety Management Operations, etc.

    When providing Safety Management Information to third parties such as medical institutions, pharmaceutical-related companies, and medical professionals for the fulfillment of post-marketing safety management operations entrusted to the Company, and for purposes related to health management, medical support, academic use, and other related purposes.

  6. Upon User Request

    When explicitly requested by the user to disclose or provide information to a third party.

  7. In Case of Business Succession

    When information is provided due to business succession due to merger or other reasons.

7. Joint Use

The Company may jointly use the items listed below with its parent company, Integrity Healthcare Co., Ltd.

  1. Personal information of corporate representatives in 2-3.
  2. Other personal information in 2-4.

These items will be used for the purposes stated in 3. Purposes of Use, 2 and 3, and 10 and 11.

8. Handling of Special Care-Required Personal Information

User Information may include information related to medical care and health, and therefore may fall under the category of special care-required personal information under the Act on the Protection of Personal Information (Act No. 57 of 2003; hereinafter referred to as the "Personal Information Protection Act"). In this case, appropriate handling will be performed in accordance with the provisions of the law.

9. Requests for Disclosure, Correction, Suspension of Use, etc.

Regarding User Information of which items are subject to requests for disclosure, correction/deletion, suspension of use/provision suspension based on the Personal Information Protection Act, the procedure for making each request is as follows. Furthermore, requests made by a legal representative of the individual or a representative appointed by the individual will also be handled according to the same procedure.

After sending the Request Form, a copy of your resident card, and the postal money order for the prescribed fee, we will contact you at the contact information you provided to verify your identity. Only if the identity of the User Information and the person who made the request is confirmed, and it is confirmed that you are the individual, we will respond to the disclosure, etc.
  3. If your identity cannot be confirmed, if the Company does not hold the User Information that is the subject of the request, or if disclosure, etc., is not required by the Personal Information Protection Act or other laws and regulations, we will not respond to the disclosure, etc., and will notify you of this.

10. Data Retention Period

The retention period depends on the type of data and its intended use. Unless required by law, the Company retains User Information only as long as necessary for the purposes outlined in this policy.
